AUGUST 2023 MEETING MINUTES
The Pony Creek Homeowners Association Board met at the Park on August 8th, 2023. The meeting was called to order at 6:33 pm. Board Members present included: Verlin Phelps, President, Tim Gibbs, Vice President, Suzanne Wick, Treasurer. Board Members: Randy Greenwood, Mike Bogenreif and Tristan Nolan.
Suzanne Wick emailed copies of the July 2023 Monthly Treasurer report and the July 2023 Meeting Minutes prior to the meeting. Hard copies of the reports were available at the meeting. Tim made a motion to accept the July minutes as submitted. Seconded by Randy. All approved.
Treasurer Report: Motion made by Randy to accept the July Treasurer Report as submitted. Seconded by Mike. All approved.
Monthly Report Bank Statement balance August 1 st , 2023, $ 6,310.12
Balance in the Checking account = $ 3,117.55 as of September 10th, 2023. Expenses paid during August included: Water Testing, Road Grading, Tractor payment, Heimes - Rock, Park mowing, Diesel Fuel, Fred’s Trash and Mid-American Energy.
Several judgements have been filed against Homeowners for non-payment of dues. The Board is not sure what to do from here to collect. Tim made a motion to hire an Attorney to advise us on how to collect on these judgements. Seconded by Tristan. All approved.
Discussion on the purchase of Trail Cams to monitor areas for trespassers and vandalism were tabled at the time of this meeting.
Water Report: There was a break at the Well house which caused water to fill the basement. The water was pumped out and CB Well company came out and fixed the break. Thanks to Verlin and Mike for getting this repaired as quickly as possible. Homeowners were notified to limit their water usage for a short time.
Road Report: More rock will be ordered to replenish the stockpile. The gas cap was replaced on the tractor. We are looking to purchase a pump for gas/diesel to pump the fuel out of the tank and into the Grader.
Park: Park –The dock boards were replaced using Boards we had saved. Mowing looks good. Nothing else to report.
Old Business: Verlin has written an Amendment to the By-Laws to change the time of Member Meetings for the Annual and Semi-Annual meetings from 6 pm to 2 pm. Amendments were sent out to Homeowners. These amendments will be voted on at the Annual Meeting.
New Business: Annual Meeting will be held Sunday October 15th , 2023 at 2 pm. There will be a potluck.
Tristan made a motion to adjourn the meeting at 7:02 p.m. Mike seconded. All Approved.
Next Board meeting to be held September 12th, 2023 at 6:30 p.m. at the Park.
