JUNE 2023 MEETING MINUTES

The Pony Creek Homeowners Association Board met at the Park on June 13th, 2023. The meeting was called to order at 6:41 pm. Board Members present included: Verlin Phelps, President, Suzanne Wick, Treasurer. Board Members: Randy Greenwood, Mike Bogenreif and Tristan Nolan. Tim Gibbs – Absent.

 Suzanne Wick emailed copies of the May 2023 Monthly Treasurer report and the May 2023 Meeting Minutes prior to the meeting. Mike made a motion to accept the May minutes as submitted. Seconded by Randy. All approved.

Treasurer Report: Motion made by Tristan to accept the May Treasurer Report as submitted. Seconded by Mike. All approved. Monthly Report Bank Statement balance June 1 st , 2023, $ 5,535.70. Balance in the Checking account = $ 4,939.89 as of July 10th, 2023. Expenses paid during June included: Water Testing, Road Grading, Tractor payment, Heimes - Rock, State Farm Insurance, Park mowing, Fred’s Trash and Mid-American Energy. Verlin reimbursed PCHA for a purchase that was made in error on the PCHA debit card. Homeowners need to use the PCHA website to pay their dues. Any Homeowner using Paypal will be charged an additional fee. The PCHA will no longer absorb the fees that Paypal charges.

Water Report: Verlin signed up for a Hach training class which includes a Chlorine Meter. Suzie made a motion to send Verlin to class and pay the $650.00 for the class which will include a new Chlorine meter. Seconded by Randy. All approved.

Road Report: The bucket blade for the Tractor has been purchased along with the necessary hardware. The blade has been installed. Two loads of Rock have been ordered and delivered. The rock will be stock piled and spread by an Operator during times that will not conflict with the Operators employment. Tristan made a motion to pay $100.00 for spreading 20 tons ( 2 loads) of the rock in areas that need it.

The Board set a price structure for Tractor rental by Homeowners. It was agreed that if a Homeowner would like to rent the PCHA tractor, the rental fee would be $25.00 an hour. The rental agreement does not include the cost of an operator. The tractor will only be allowed to be operated by our own operators. In other words a homeowner may rent the Tractor but must use one of our own operators to run it. The homeowner would have to work with the operator to come up with their own operating price. This would be an agreement between the homeowner and the operator.

Park: Park – no complaints on the new mowing service. The park looks great. Verlin has sprayed for weeds. The swing set has been repaired. There is some grading that needs to be done in the areas where the fence was removed and reseeded.

Old Business: Small claims on past due homeowners will be filed this month.

Verlin has written an Amendment to the By-Laws to change the time of Member Meetings for the Annual and Semi-Annual meetings from 6 pm to 2 pm. Amendments will need to be sent out to Homeowners.

New Business: None Tristan made a motion to adjourn the meeting at 7:23 p.m. Mike seconded. All Approved.

Next Board meeting to be held July 11th, 2023 at 6:30 p.m. at the Park.
